Running WooCommerce with multiple store locations
WooCommerce gives every product exactly one stock number. If you have two showrooms and a website, that's a problem with three bad workarounds and one good fix.
The core limitation
WooCommerce was built for one warehouse. There is no native concept of "4 units in Charlotte, 2 in Atlanta" — just stock_quantity: 6. Everything else has to be layered on top.
The workarounds merchants try first
1. Location plugins
Multi-location stock plugins bolt a locations table onto Woo. They work until they meet your POS: the plugin knows about locations, but your Square register doesn't know about the plugin. You end up updating two systems by hand.
2. Separate sites per location
Some agencies spin up a subsite per store. Now you have N catalogs to keep identical, N sets of plugins to update, and no combined view of anything.
3. A spreadsheet
The honest default. It works exactly until the first busy Saturday.
What actually works: ledger + per-location channels
Treat WooCommerce as one sales channel, and each physical store (usually a Square location) as another. Every channel reports its sales into one append-only ledger; every unit belongs to a location; transfers between stores are two balanced ledger rows. The website sells from the total (or a designated pool), and each register decrements its own location.
- Per-size, per-color counts survive, because the ledger tracks variations — not just parents.
- A reconcile pass compares each platform's numbers to the ledger on a schedule, so drift gets caught in minutes instead of at the next physical count.
- Stock pushed back to WooCommerce flips
manage_stockon automatically, so the storefront actually enforces the number.
Migration path from "stock lives in my head"
- Connect your platforms and import the catalog (matching by SKU).
- Do one physical count per location — the only genuinely manual step.
- Let webhooks + reconciliation keep it true from then on. Review transfers weekly.
